Privacy Policy
How IntegratedTender handles personal information. Updated 28 October 2026.
1. About this policy
IntegratedTender provides AI-assisted tender answer writing and supporting contract review for businesses. This policy covers account holders, website visitors, people making enquiries and consultant applicants. For privacy questions or rights requests, use our Contact form.
2. Information we collect
We process account and business details, email addresses, tender documents, answers, business evidence and service activity. Enquiries include your name, business, sector, tender link or deadline and message. Consultant applications include your name, email, sectors, experience and LinkedIn profile. Purchase records include checkout references, payment status and bid-credit usage. Card details are collected by the payment provider, not entered into our app.
3. Why we use information
We use information to provide the service, write requested drafts, review tender requirements, administer purchases and credits, respond to enquiries, review consultant applications, maintain security and comply with legal obligations. We rely on contractual necessity, legitimate interests in running and securing our service, and legal obligations as applicable. Where consent is needed, such as optional marketing, we ask separately.
4. Service providers and AI
Our hosting, authentication, storage, AI and payment providers process information needed to deliver their services. Relevant tender material and business evidence may be sent to AI providers when you request analysis or drafting. Avoid uploading unnecessary personal data, especially health or safeguarding case information. Upload only material you are authorised to use.
5. Access, transfers and security
Enquiries and consultant applications are available to authorised administrators, not published to other visitors. New tender uploads in the bid-writing flow are stored privately. Providers may process data in other countries; where required, applicable data-protection safeguards must govern those transfers. No online system can guarantee absolute security.
6. Retention
We retain information for the purpose for which it was collected, including ongoing accounts, bid records, enquiry follow-up, application review and legal accounting requirements. Unused credit expiry is not an instruction to delete your account or previous bids. Contact us to request deletion or discuss retention, subject to legal requirements.
7. Your rights
Under UK data-protection law you may request access, correction, erasure, restriction, portability or objection where applicable, and withdraw consent for consent-based processing. We may need to verify your identity. You may complain to the Information Commissioner's Office at ico.org.uk.
8. Cookies and changes
Authentication and essential preferences use browser storage. See our Cookie Policy. We update this policy when our practices change; the date above identifies this version.
